As the Sales Support Admin at Metric Coffee, you will play a critical role in supporting our growing wholesale business by ensuring accurate customer billing, timely collections, and exceptional customer service. This role serves as the primary point of contact for wholesale accounts regarding invoices, payments, account maintenance, and order support while partnering closely with the Sales, Operations, Production, and Accounting teams.

The ideal candidate is highly organized, detail-oriented, and enjoys building strong customer relationships while balancing accounting responsibilities with customer service. Success in this position requires strong communication skills, excellent follow-through, and the ability to manage multiple priorities in a fast-paced environment.

Experience & Qualifications

  • 1–3 years of experience in Accounts Receivable, Customer Service, Sales Support, or Accounting
  • Experience working with wholesale customers, food & beverage, hospitality, or distribution businesses preferred
  • Strong proficiency with Microsoft Excel and Google Workspace
  • Experience with ERP or accounting software (QuickBooks, Restaurant365, Oracle, SAP, or similar systems preferred)
  • Excellent organizational and time management skills
  • Strong analytical and problem-solving abilities
  • Exceptional attention to detail and accuracy
  • Excellent verbal and written communication skills
  • Ability to prioritize multiple projects while maintaining outstanding customer service

Duties & Responsibilities

Accounts Receivable

  • Prepare and distribute weekly customer statements to wholesale accounts
  • Generate customer invoices and ensure billing accuracy
  • Post customer payments, credit memos, refunds, and account adjustments
  • Maintain accurate customer payment records and documentation
  • Reconcile customer accounts and investigate discrepancies
  • Monitor aging reports and proactively follow up on past-due invoices
  • Communicate professionally with customers regarding payment status and outstanding balances
  • Research and resolve billing questions, payment discrepancies, and account issues

Customer Service & Wholesale Support

  • Serve as the primary point of contact for wholesale customer inquiries via phone and email
  • Respond promptly to questions regarding orders, invoices, deliveries, pricing, and account information
  • Maintain accurate customer profiles, billing information, and account records
  • Coordinate with Sales, Production, Operations, and Logistics teams to ensure timely order fulfillment
  • Communicate inventory shortages, backorders, and delivery updates to customers when necessary
  • Research and resolve customer concerns while providing exceptional service and timely follow-up
  • Build and maintain strong relationships with wholesale partners through proactive communication

Order Processing & Data Management

  • Enter customer orders, invoices, and payments into accounting and ERP systems
  • Review order accuracy, pricing, and customer-specific requirements
  • Maintain accurate databases for customer accounts and payment history
  • Monitor open orders and assist in resolving order discrepancies
  • Generate reports related to accounts receivable, customer activity, and outstanding balances
  • Support data imports, integrations, and reporting across multiple business systems

Administrative Support

  • Maintain organized digital records for invoices, payments, contracts, and customer documentation
  • Support Accounting and Sales with administrative projects and reporting
  • Help identify opportunities to improve workflows, automation, and customer experience
  • Assist with training and documenting procedures as processes evolve
  • Complete additional projects and responsibilities as assigned
